Data & Privacy
ReturnsUp is designed to comply with data protection regulations (GDPR), allowing you to manage how long you keep your customers' return information.

Data Lifecycle
The system automatically manages a return's lifecycle to keep your database clean and comply with the law.
1. Auto-archive (30 days)
When a return reaches a final state (Refunded, Rejected, or Cancelled), the system "stops looking at it". If 30 days pass without any new activity on that return, it is considered Archived.
Note: Archived returns remain visible and searchable, they simply go into a "dormant" state.
2. Permanent Deletion (Configurable)
Here is where you decide when to "forget" data forever. The system will review returns that are already archived and check their age.
Retention Period (Days): Define how many days you want to keep data after it has been archived.
Example: If you set 180 days (6 months), the system will delete any return that has been closed and archived for more than half a year.
Minimum: 30 days.
Maximum: 365 days.
3. Security Notifications
To avoid unpleasant surprises, we recommend keeping this option enabled.
Notify before delete: If active (ON), you will receive a warning email 30 days before the system is about to run a massive cleanup. This gives you time to export data if you need it for tax or legal issues.
[!WARNING] Important: Deletion is irreversible. When the system deletes a return, it also permanently removes associated shipping labels and photos to free up space and comply with the "right to be forgotten". This cleanup runs automatically on the 1st of every month.
